Groups are a way to bring people together around a topic. Your departments probably already have groups in their messengers. You probably know how to create groups in a company and use them to solve problems.

In this article, we will talk about how to work effectively with groups in Togezzer.

Types of groups and differences between them

Department

Each employee of your company is already listed in a certain department: sales, marketing, accounting, production, etc. You just need to create groups for them with the type “Department” in Togezzer space.

Organizational structure of the “One development” company. You can see it departments — “Commercial”, “Customer care” etc.



The department consists of employees only. There is a chat room where you can ask experts for help or send them a task. All tasks of the department are on its board and in statistics. This enables a quickly understanding of what each employee is working on, track the productivity of the entire department and intervene if something goes wrong.

Project
A project is a temporary activity. Projects have a life cycle: idea, planning, implementation, completion.

A project helps to combine the efforts of several departments. Its manager is responsible for the projects success. Only he can distribute tasks among the participants.

For example, the company launches an online store. Representatives of all departments participate in the launch, and the project manager manages the project. The project will end as soon as the online store is opened.

Process

Processes are repetitive tasks: coordination of payments, holidays, requests for technical support. Processes rarely change and have predictable results.

The built up processes release time of the head and employees.

For example, the manager needs to coordinate payment. Processes help him not to spend time on meetings with those who agree and explain to them what to do.

In Togezzer, the manager creates a card on the “Payments” board and gets the headbook for the process. He then assigns the task to his employee. He checks if everything is in order, then the payment is given to the CEO for his signature and then the payment is made. All this time, the manager can see the status of the payment approval. He will inform the contractor as soon as the payment has passed.

Group chat

Chats will help if you need to discuss something with employees from several departments or the whole company. Chats do not have a task board, their goal is to organize a discussion.

Tips for working with “Groups”

Assign tasks to a group

If you do not know which group member will be the performer, assign the task to the entire group:

  1. Enter what should be done
  2. In the field “To whom” indicate the group

The members of the group will be notified about the task in a general chat. They will then agree on who will work on the task, or the group administrator will assign an administrator to the task.

Use the roles in the group

Togezzer has different group user categories: regular users, administrators and guests.

Changing roles in the group is only available on the computer Instructions in article “Management of group members”



The admin is the one who created the group. He can edit the group description, add and delete other users.

A group member is the task manager in the group. He can see the chat and all tasks. He can create and edit tasks in the group. He sees the other members of the group and can also invite them.

Guests in the group are observers. They can only view tasks and leave messages in chat rooms. They have no way to edit or move tasks or invite other participants.

This structure allows you to tailor the tool to your company's business structure.

For example:

  • create a “Finance” group where guests can send payment requests but cannot change the status of the request
  • create a “Sales” group in which the sellers will manage the statuses of working with customers and this will be visible to all other group members
